 Gloria Dei Lutheran Church Governing Board
July 31, 2012 – Special Meeting

Vice President Jason Hoffman called the meeting to order at 6:26 p.m.

In attendance were Casey Fluegge, Lorrie Graaf, Jason Hoffman, Wendi Canada, Barb Miles, Marv Rohn, Bruce Amendt, Ann Zimmermann, and Pastor Burcham.

Not present was President Mark Kramer.

Visitor Recognition:  Laura Rath was present as recording secretary.

Senior Pastor Report:

  • Pastor Burcham reported on the Aurora Campus Improvements projects. Actual bids have been received and the Facilities MAT has documented where the actual costs are under or over budget. Additional projects have come to light that the Facilities MAT recommend be taken care of before winter. One is the need to replace the office windows in order to seal up the building before winter. The other additional projects are: paint the patched wall in the FLC; replace stain glass covering; replace stain glass covering west side; sand, prime, paint all steel lintels, esp. north and south main entrances; and repair center wing windows.

To help accommodate the cost of the additional projects, the carpeting in the office area and the seal coating of the parking lot can be deferred until another time. The contractor informed us that the parking lot is in very good condition and does not necessarily need to be seal coated at this time.

The recommendation was made that the Board authorize up to $30,000 from the Long Term Maintenance Fund to be used for the additional repairs, and if the original projects do not use all of the contingency funds that we move forward with carpeting the offices.

The Board discussed the original and additional projects, as well as the budget and actual bids. Wendi Canada made a motion to move forward with the recommendations from the Facilities MAT, to authorize $30,000 from the Long Term Maintenance Fund to be used for the additional repairs, and for the offices to be carpeted if the original projects do not use all of the contingency funds. Casey Fluegge seconded the motion. Motion carried.

  • Pastor Burcham reported on the Wednesday night space needs. Urban Heights Covenant church declined our offer to lease their church on Wednesday evenings. Two other opportunities were pursued by Youth Director Tim Kightlinger.

Urbandale Middle School is available on Wednesday evenings, but is cost prohibitive.

Incredible Pizza has 7 individual rooms and one large room available on Wednesday evenings. We negotiated that we would pay $550.00 per week to use the rooms, including the buffet for those who would like to eat. We would then charge $5.00 per person for those who eat, but dinner is not mandatory. Youth who choose not to eat would come just for Faith Alive.

Tim Kightlinger met with his MAT on July 30. After discussion, the MAT declined the Incredible Pizza opportunity, and opted instead to move to split times on Wednesday evening. Age 2-5th grade will meet from 6-7:15 p.m. and youth will meet from 6:45-8 p.m.

  • Pastor Burcham reported that the Elders will meet on Wednesday, Aug. 1 to discuss a change to the weekend worship service times. The proposed schedule would be:
    • Saturday: 

      5:30 p.m. Northwind (no change) An additional Saturday evening service could possibly be added in January. Saturday service times would then be 4:30 and 6 p.m.

    • Sunday: 

    8 a.m. traditional worship in the Sanctuary
    9:30 a.m. traditional blend in the Sanctuary
    10 a.m. casual contemporary in the FLC – video venue. This service will be similar to Northwind.
    11 a.m. contemporary in the Sanctuary

After the Lord’s Prayer, the meeting adjourned at 7:24 p.m.
